Administrative Assistant


Reports to: Director of Engineering

Job Summary (Essential Functions)

To provide direct administrative support to the Director of Engineering, Engineering Staff and indirect support to the Property Committee, as required.

Education and/or Experience

  • Experience in accounting is preferred.
  • Previous experience with coordinating facility maintenance department activities preferred.

  • Exceptional interpersonal skills, proven ability to work collaboratively as part of a team in a deadline driven environment.

  • Ability to provide high level, priority management and calendar management support to Director of Engineering.

  • Ability to read and understand financial statements and variance reports.
  • Ability work independently often unsupervised, handle multiple tasks at one time, and be flexible and able to adapt to changing priorities.
  • Excellent Customer Service, organizational, and Human Relations skills.



  • Prepares notices, agendas and other items for the Property Committee meetings; manages records and files minutes of each meeting.
  • Performs general office tasks.
  • Maintains inter-departmental budget record keeping and forecasts.
  • Maintains general correspondence.
  • Receives and screens visitors.
  • Helps to schedule the Director of Engineering's appointments and conferences.
  • Answers the telephone; acts as a receptionist when necessary; assists with members' inquiries and provides information about membership, special functions, etc.
  • Attends meetings with the Director of Engineering, Property Committee and others; takes minutes and transcribes them for distribution as necessary.
  • Purchases and inventories parts, supplies and tools; monitors office equipment-maintenance contracts.
  • Contacting contractors for call-out work and scheduling contractor appointments.
  • Maintains the office area to keep it neat and tidy.
  • Receives deliveries from Fed Ex, UPS and other delivery services for Engineering Department.
  • Performs other ad hoc duties as assigned by the Director of Engineering.


Physical Demands and Work Environment

  • Must be able to reach, bend, stoop, stand and lift up to 40 pounds.
  • Must be able to sit for prolonged periods of time.
