The Concierge Coordinator will report directly to the Director of Spa and Fitness and be responsible for the overall operations of spa and fitness receptionists, attendants and salon concierge, as well as indirectly assist with the supervision of all spa, salon, fitness, studio and aquatic operations.

Job Responsibilities:

 

  • Provide administrative and clerical support for the Director in the spa, salon, fitness, studio and aquatics facilities.
  • Act as Manager-On-Duty for the Spa, Salon, Fitness and the Aquatics Center
  • Evaluate and respond to all members inquires involving their member accounts.
  • Hire, train, evaluate and supervise all receptionist positions within the department.
  • Organize all accounts payable and accounts receivable efforts set forth by accounting department.
  • Ensure that all WGCC policies and procedures in relation to daily operations and member/guest facility utilization are being followed.
  • Assist Spa and Fitness Director with all special events and projects.
  • Coordinate all point of sale procedures for spa, salon, fitness and studio facilities.
  • Develop comprehensive policy and procedure manual for front desk operations including, but not limited to, customer service, phone etiquette, point of sale, cancellations/no shows and scheduling appointments.
  • Assist with the ordering of spa, salon, fitness and locker room amenities.       Also, oversee ordering of office supplies for department.
  • Perform any and all duties requested by the Director in order to operate the spa, salon, fitness, studio and aquatics facilities.
  • Assist management staff in implementing club policies, goals, operating procedures and standards.
  • Any and all other functions as deemed appropriate or necessary by the Director of Spa and Fitness to ensure the overall quality of the products and service delivered to the members and guests.

 

Physical Requirements:

  • Ability to lift 10lbs
  • Must be able to stand for prolonged periods of time.

 

Knowledge and Skill Requirements:

  • Ability to communicate with management effectively and tactfully.
  • Must possess a thorough working knowledge of point of sale and scheduling software.
  • Must be sensitive to member/guest needs and wellness related issues.
  • Knowledge of computer word processing.
  • Proven interpersonal communication skills and customer service techniques.
  • Ability to function as a team player and through coaching and counseling, bring out the best in his/her staff.
  • Needs a flexible schedule to work, day, night, weekends and holidays.
  • Current CPR/AED certification.

Education & Work Experience Requirements:

  • Position requires solid organizational and customer service and multitasking skills.
  • Must have at least 2 years experience in the country club or hospitality industry.
